By accessing or using our website (www.huanmdclinic.com) and related online services (collectively, the “Site”), you agree to comply with and be bound by these Terms of Service (“Terms”). Please read them carefully before using our Site or purchasing any products or services.

1. General Information

Huan MD Clinic operates as a medical aesthetic and hair restoration clinic specializing in Direct Hair Implantation (DHI), scalp treatments, and supportive after-care products. Our online platform allows users to:

  • Learn about procedures and candidacy requirements
  • Request consultations and treatment plans
  • Purchase treatment packages, after-care products, or deposit bookings

By using this Site, you confirm that you are at least 18 years old and capable of entering into a legally binding agreement.

2. Medical Disclaimer

All content on this Site is for informational and educational purposes only and does not constitute medical advice, diagnosis, or treatment. Consultation with a qualified medical professional (including Dr. Huan Nguyen or an authorized physician at Huan MD Clinic) is required before undergoing any treatment or procedure.

Treatment outcomes vary per individual and depend on biological factors, adherence to aftercare, and overall health. Huan MD Clinic does not guarantee identical results for any two patients.

3. Consultations and Candidacy

Before booking a surgical procedure, every client must complete an online assessment and submit scalp photos. The clinic reserves the right to decline or modify treatment plans if the patient is not deemed a suitable candidate for medical or ethical reasons.

Any quotes provided online are estimates only until confirmed during in-person evaluation by the attending surgeon.

4. Pricing and Payments

All prices listed on our Site are in [USD/VND] unless stated otherwise. Prices are subject to change without prior notice.

A 10% deposit is required to secure your surgery date or consultation. This payment is applied toward your final balance and is fully non-refundable. You may reschedule your appointment once with at least 48 hours’ notice; all payments remain non-refundable in all circumstances.

Accepted payment methods include major credit cards, bank transfers, Wise, and approved third-party processors through Shopify’s secure gateway.

5. Cancellations and Rescheduling

Due to the medical preparation, surgeon allocation, and staffing required for each procedure, all payments made to Huan MD Clinic are strictly non-refundable, whether a deposit or the full procedure amount.

  • A deposit is required to confirm your surgery date or in-person consultation.
  • All deposits are refundable, minus a $99 USD administrative fee, as long as the appointment is not canceled within 48 hours of the scheduled surgery.
  • All deposits will be applied toward your final balance on the day of treatment.
  • If travel plans change, you may reschedule once without penalty by providing at least 48 hours’ notice. Your original deposit will be transferred to the new date.
  • Cancellations made with less than 48 hours’ notice, same-day cancellations, or no-shows will result in the forfeit of the full deposit.
  • Product sales - including after-care kits, supplements, or topical treatments—are final and non-refundable due to hygiene and medical safety standards.

If a medical issue arises that prevents you from undergoing the procedure, our team may review official documentation to determine eligibility for rescheduling only. Payments remain non-refundable in all cases.

6. Travel and Logistics

Huan MD Clinic may assist with travel coordination, hotel recommendations, and airport transfers for international clients. These arrangements are optional and not part of the medical service. The clinic is not liable for any third-party delays, cancellations, or incidents related to travel or accommodation.

7. Intellectual Property

All photos, text, videos, and designs appearing on this Site—including educational materials—may not be reproduced, distributed, or used for commercial purposes without prior written consent.

8. Use of Illustrative and AI-Enhanced Images

To protect patient confidentiality, Huan MD Clinic may use AI-enhanced, illustrative, retouched, or representative visuals across our website, social media, and marketing materials. These visuals are for educational and illustrative purposes only and may not represent an exact patient result.

9. Limitation of Liability

To the fullest extent permitted by law, Huan MD Clinic, its staff, and affiliates shall not be liable for any direct, indirect, incidental, or consequential damages arising from:

  • Use of or inability to use the Site
  • Reliance on information provided online
  • Travel delays or cancellations
  • Individual outcomes or expectations from treatments

10. Privacy and Data Protection

We take your privacy seriously. All personal data submitted through the Site—including photos, medical forms, and payment details—are handled in compliance with applicable regulations and our Privacy Policy. By using the Site, you consent to our data collection and processing practices.

11. Modifications

We reserve the right to update or modify these Terms at any time without prior notice. Continued use of the Site after changes constitutes acceptance of the revised Terms.

12. Governing Law

These Terms shall be governed by and construed under the laws of Vietnam. Any disputes shall be handled under the exclusive jurisdiction of Vietnamese courts.

13. Medical Procedure Payment – Terms & Conditions

By completing your online payment—whether a partial deposit or the full procedure amount—you acknowledge and agree to the following:

A. Purpose of Payment

All online payments secure your surgery date, operating room, surgeon allocation, medical staff, and personalized treatment planning. All amounts paid are applied toward your final balance.

B. Refundable Policy

i. Service Payments
Full payments for services already performed are not refundable. This includes cases related to expectations, personal preference, or failure to follow post-care guidelines, as results vary and are not guaranteed.

ii. Deposits
Deposits are refundable (minus $99) if canceled more than 48 hours before surgery; cancellations under 48 hours, same-day changes, or no-shows forfeit the deposit.

C. Rescheduling

You may reschedule once without penalty if at least 48 hours’ notice is provided. Rescheduling with less notice is treated as a cancellation, and all payments remain non-refundable.

D. No-Show & Same-Day Cancellations

No-shows and same-day cancellations result in full forfeiture of all payments.

E. Treatment Plan & Graft Count Adjustments

The final graft count may vary due to donor availability or clinical findings. If additional grafts are approved, the difference is payable on procedure day. If fewer grafts are used, payments remain non-refundable.

F. When Services Are Considered In Progress

Once you check in for your consultation, hairline design, or any part of your surgical day, the service is considered in progress. Payments cannot be refunded, reversed, or disputed at this stage.

G. Disclaimer on Results

Hair transplant outcomes vary based on individual physiology, donor supply, healing characteristics, and aftercare adherence. No specific density or cosmetic result can be guaranteed.

H. Payment Authorization

You confirm that you are the authorized cardholder and consent to this medical payment. Initiating a chargeback after receiving services may constitute fraud.

I. Chargeback Policy

  • Payments cannot be disputed as “services not provided” once you attend your appointment.
  • ID verification and medical consent forms are mandatory before surgery.
  • The clinic will submit all documentation (photos, timestamps, consent forms) in the event of a dispute.
  • Chargebacks do not override the non-refundable nature of this agreement.

J. Remaining Balance

If you paid a deposit, the remaining balance is due on procedure day. Accepted methods: credit card, bank transfer, Wise, Shopify’s secure gateway, or cash (local currency).

15. Estimated Graft Range & Final Adjustment Authorization

The graft count provided during your assessment is an estimate. Final graft numbers may vary by approximately 10–15% based on donor supply, hairline design, and intraoperative findings. You authorize the surgeon to make any necessary adjustments within this range to ensure optimal results.
